How do I create a collection?

Navigate to the collections page found on the left-hand side of the page.

Here, you’ll be able to view all of your open collections, we’ll explain that shortly. For now, let’s add a new collection by clicking + New Collection.

On the New Collection page, you will be able to fill in the appropriate details within your collection. Let’s breakdown this page a little further.

Section 1

If this collection is an event, eg. an outing to the aquarium, then simply tick yes. Once the user has paid for the collection, they will have the option to add the event to their phone’s calendar. If your collection is not an event, i.e. locker collections, bake sales or tuck shop orders, then select ‘No’ and the date and time will disappear.

Section 2

Set a date for when you would like the collection to close and by which date all payments should have been received.

Section 3

Here, you can add the title of your collection and a short description. Use this space to tell your users what the collection is about and other important information, eg. Bring a packed lunch.

Next, select the type of collection and the price.

Choose between:

- Fixed amount (ideal for locker payments, bake sale, civvies days, etc.).

- Variable amount (ideal for donations towards staff funds, building fund contributions, etc. The parent chooses which amount they would like to contribute).

- Amount per item (this is perfect for ticket sales, gala seats, book purchases, etc.).

- Shopping list (perfect for when you have a multitude of items which you need to let the parents choose from, e.g. uniform and sport wear orders, stationery orders, tuck shop orders, etc.).

- Custom amounts (this type of collection is for when you have multiple children on a collection which all need to contribute a different amount for something, e.g. some have paid cash in advance towards a tour or outing, and the balance needs to be paid).

The amount is the price the user pays and your nett amount is what the organisation receives per user.

Finally, select which students/members need to be added to the collection in order for them to make payment. You can include the whole organisation, or limit it to certain grades or even classes. If you are satisfied that everything is in order, you can click Create Collection.

Once you’ve created your collection, you will see this view below:

IMPORTANT: You will see that your collection is pending. This feature is for you to save a collection for a future date, specifically if you only intend on releasing it at a later stage. It is vital that you SUBMIT YOUR COLLECTION FOR APPROVAL before it can be approved by our team and made available for payment on the app.

Make sure you click Confirm. By submitting your collection, your collection details are sent to our dedicated Support team for review and approval.
