Create a Collection
Creating Collections in Karri is a simple process and you only need the simplest of explanations to be able create most of the collection types that typically occur in your business.
Getting started
Go to
Collections
Click
[+ New Collection]
, you’ll be presented with the New Collection Wizard:
On the left is the form for you to enter in the collection particulars and on the right is the app preview your users should see when the collection is open on their phone.
Is this for an Event?
In Karri, collections are typically a request for members to make a payment by a specific date. In some cases, these collections are linked to an actual activity or event.
Collections have end date by which each member should pay.
Events in contrast have a start and end time, for example, Excursions, Tours, Concerts and Plays.
Examples of collections that are not event-related are Locker Payments, Library Fines, School Fees, Lunch Shop Orders.
If your collection is not for an event, click No
, otherwise click Yes
and input the start and end dates and times.
By when should the Member/Subscriber pay?
This is the last date and time that you want members to pay by. At this time, Karri will transition this Collection to Payout
, Generate the Invoice and transitioning the collection to Settled
.
If the collection is marked as compulsory, there are extra settings which take precedence. If this applies to you refer to Compulsory Collections.
Collection details
Input the name and details of the collection. Some useful guidelines:
DO NOT TYPE IN CAPS (it is considered bad etiquette)
Do not type entirely in lower case letters (Please!)
Do not repeat information that is already input as it is already displayed, for example:
No need for Costing or Price.
No need for the Event Date details.
No need for the Collection Date details.
Keep it succinct, this has to be easily read on a mobile device.
We don’t allow any formatting due to the variety of devices the information has to be displayed on. Line-breaks are respected though as you’ll see on the preview.
What do you want the Member/Subscriber to pay?
Depending on what type of collection you want to set up, you have a variety of choices here. Hover your mouse over the symbol for a short description of the use case for that collection type.
Read through Types of Collections to understand the various choices in more detail.
Once you’ve gone through that you have some advanced options that tweak how the collection is shown, used and managed. Refer to Advanced Options for more detail if the popup help icon isn’t enough.
Select Target Members
Choose which members you want to be invited to the collection. If you aren’t familiar with this type of list manipulation tool review the How to use the Member Selector guide.
Create Collection!
If all goes well, click Create Collection
and you’ll be taken to the Collection Management view.
The collection will be opened in PENDING
state, users will not be able to pay until the collection is OPEN
. In order to do that you need to ensure it is ready and get it approved for release. See Approve the Collection
